JOB DESCRIPTION 

Executive Director (ED)  

TITLE EXECUTIVE DIRECTOR 

TITLE OF IMMEDIATE SUPERVISOR 

Lacrosse Canada President and ultimately the Board of Directors  

MANDATE 

The Executive Director is the most senior management employee position of Lacrosse Canada (LC). The Executive Director acts in a position of trust and is the manager of all LC office staff. The Executive Director ensures the LC Board of Directors’ decisions and policies passed to the LC staff for implementation are actioned and oversees the day-to-day administration and management of Lacrosse Canada. They are responsible for the effective operation of the Corporation, and must be fully informed in matters of policy, finance, people and League organization.  

The ideal candidate will have proven experience and credibility in the area of leadership, management and brings experience in lacrosse and existing executive director experience. He/she will also be able to demonstrate an understanding of the Lacrosse Canada landscape, strategic plan and overall management of the organization. 

Status:  Full-time, 40 hours/week, salaried  

Reports To:  LC President  

Level: Senior Management, overtime exempt

Working Conditions: Normal office environment, some evening hours for Committees, some weekend work as required, some travel as required 

RESPONSIBILITIES: 

  • Receive Association requests, issues, disputes, and applications and provide the Board of Directors with up-to-date information regarding activities related to LC.  
  • Develop and maintain an annual calendar of administrative and operational events.  
  • Issue notice of LC Board of Directors meetings and LC General meetings, accurately record proceedings, prepare and distribute Board Minutes to the Directors and members as required. 
  • Maintain custody of all minutes, records, and books of the LC, as well as records of all events sponsored or sanctioned by LC. 
  • Collect and assemble information for Board activities, and prepare reports, memoranda, correspondence and proposals on behalf of the Board of Directors.  
  • Interpret Board decisions, policies, LC Rules and Regulations, and initiate appropriate processes to implement the Board's direction.  
  • Carry out annual performance evaluations for LC staff members.  
  • Review staff performance with the Executive Committee at the end of each season, and make appropriate recommendations regarding staff development, and salary adjustments. 
  • Develop LC strategic and operational plans for board approval
  • Responsible for managing all LC office (home or office space) functions including, office supplies, security, maintenance, office lease, equipment, computers equipment, IT/internet services, LC website, hours of operation, and storage facilities, etc.   
  • Oversee the planning and organization of the Annual General Meeting (AGM) including AGM facilities, equipment, and support materials.  
  • Prepare and distribute Notices of the AGM along with copies of the agenda and supporting documentation for proposed resolutions, and 'meeting specific information annually. Upon request, Chair AGM following the agenda and required documentation.  
  • Finalize and distribute minutes of the Annual General Meeting, and distribute minutes of any other General Meetings held, within one month of the meeting date.  
  • Receive all motions to amend, or alter the Constitution, By Laws, Rules and Regulations, and forward copies of the motions to the membership prior to the Annual General Meeting.  
  • Receive, and retain up-to-date copies of the LC Constitution and By-Laws. 
  • Serve as an ex-officio member on all LC Committees.  
  • Receive Protests and Appeals, complete with related evidence, and initiate the Protest/Appeal process.  
  • Prepare documentation, arrange Special Committee Hearings, and provide sufficient Notice of Appeal Hearings to all parties as required.  
  • Create appropriate files on all Special Committee Hearings, record findings and decisions.  
  • Attend World Lacrosse meetings on behalf of LC on an as required basis.  
  • Develop and maintain an effective communication program with Member Associations (MAs), National Teams, as well as Board of Directors members through the LC web site, LC memos and bulletins.  
  • Prepare and manage LC annual budgets and ensure adequate financial procedures are in place to control purchases and expenses under the direction of the Board of Directors.  
  • Responsible for all day-to-day accounting, accounts payable and receivables, financial management, etc. utilizing the LC accounting system in collaboration with the u LC Financial Administrator.  
  • Negotiate and implement special programs with corporate sponsors to establish corporate relationships, increase revenue, and provide the LC membership with new initiatives and programs  
  • Arrange and co-ordinate leases, and vendor contracts for LC sanctioned activities.  
  • Ensure that LC Governance requirements are being followed  
  • Other duties as required.  

 QUALIFICATIONS 

  • Completion of relevant post-secondary education in business, commerce, finance, accounting, or other relevant combination of education/experience  
  • A minimum of 10 years’ relevant experience, in a management role is preferred  
  • A minimum of 3-5 years’ relevant management experience with department function, budget and direct staff management experience  
  • Proficient knowledge/use of Microsoft Office including Word, Excel, PowerPoint and e-mail and other office equipment  
  • Experience in presenting ideas in group meetings, engaging in discussions and seeking consensus 
  • A successful Criminal Reference Check (CRC, or “Police Check”) with Vulnerable Sector Search (VSS) is required   
  • Experience representing or contributing to community groups that reflect the diversity of cultures and needs in Canada is an asset, but not required  
  • Over 10 years knowledge or experience in the sport of lacrosse  
  • Previous experience in an Executive Director capacity an asset
