Bid Process for International Events


Lacrosse Canada would like to ensure that we are bidding to host international level events on a regular basis and in doing so, that we follow a fair and ethical process open to all. In order to do that, there are a number of steps and critical timelines that we must follow in order to meet the various deadlines set by World Lacrosse.
 
The following document outlines the process of bidding for a World Lacrosse sanctioned international event. All bids submitted to World Lacrosse must come directly from Lacrosse Canada, meaning that local organizing committees or Member Associations interested in bidding for an event must do so through us. All internal deadlines must be met in order for Lacrosse Canada to make proper decisions and meet the World Lacrosse deadlines.
 
The processes for the interested host and Lacrosse Canada, as well as bidding timelines, are as follows:

Process for Interested Host

For the hosting of a World Lacrosse event, the CLA will accept bids sent directly from the Member Association, as well as from external groups interested in hosting, including tourism bodies, venues, lacrosse clubs, etc.
 
Please keep in mind that all interested parties must receive support from their Member Association prior to submitting their intent to bid on an event.
  1. Intent to Bid Package
    • Includes a letter outlining an intention to bid for an event, a letter of support from the Member Association governing the potential host location, details on the local organizing committee, and an overview of the host community and its sport tourism background.
  1. Interim Bid Package
    • Includes completed bid application forms, as well as a initial budget for the event, letters of support (e.g.: proposed facility, local tourism group, local hotel association, provincial and municipal governments, local lacrosse clubs, etc.), and any other documentation required by Lacrosse Canada or World Lacrosse.
  1. Full Bid Package
    • Includes completed bid application forms (with revisions or additions to the information from the Interim Bid Package), as well as a updated event budget, hosting agreement/contract, and any other documentation required by Lacrosse Canada or World Lacrosse.

Process for Lacrosse Canada

The Lacrosse Canada head office, as well as the Lacrosse Canada Bid Review Committee, will assist all interested hosts throughout the bidding process and act as the liaison between World Lacrosse and the interested hosts, circulating all relevant event bidding communications and documentation.
  1. Circulate Bid Timelines
    • Lacrosse Canada head office will circulate the bid timelines to all Member Associations. They will also be shared with sport tourism bodies and posted on our website.
  1. Accept and Review Intent to Bid Package
    • Lacrosse Canada head office will accept all 'Intent to Bid Package' from interested hosts.
    • Lacrosse Canada Bid Review Committee will determine whether there is a feasible opportunity to submit an 'Intent to Bid' from Canada to World Lacrosse (location not specified at this point in the process).
    • Lacrosse Canada Bid Review Committee recommends to the Board of Directors if the feasibility exists; the Board then approves or rejects the proposal.
  1. Circulate, Accept and Review Interim Bid Packages
    • Lacrosse Canada head office will circulate the 'Interim Bid Package' to interested hosts.
    • Lacrosse Canada head office will accept all 'Interim Bid Packages' from interested hosts until the deadline.
    • Lacrosse Canada Bid Review Committee will evaluate and make a recommendation to the Board of Directors on which bid to support; the Board approves, or rejects with rationale, this recommendation.
  1. Notify Successful and Unsuccessful Bidders
    • Lacrosse Canada head office will inform the successful bidder that they have been chosen to move on to the next stage of event bidding.
    • Lacrosse Canada head office will inform the unsuccessful bidders that they were not chosen to move on to the next stage of event bidding.
  1. Circulate, Accept and Review Full Bid Package
    • Lacrosse Canada head office will circulate the 'Full Bid Package' to the successful bidder.
    • Lacrosse Canada head office will accept all 'Full Bid Package' from the successful bidder until the deadline.
  1. Submit Final Bid Package
    • The Lacrosse Canada head office will submit the 'Full Bid Package' to World Lacrosse on behalf of Canada.
 
For reference purposes, the CLA Bid Review Committee is comprised of the following individuals:
  • Lacrosse Canada Director of High Performance and International Relations (Chair)
  • Lacrosse Canada Director of Marketing and Communications
  • Lacrosse Canada Sector Chair of the applicable discipline of the event (Box, Men’s Field, Women’s Field)
  • Lacrosse Canada Executive Director
  • Lacrosse Canada Communications and Marketing Coordinator

Bidding Timelines

Given the bidding process outlined above, it is imperative that Lacrosse Canada and the interested hosts stay consistent with the given deadlines in order to produce a strong bid and follow a fair process.
