The Canadian Lacrosse Foundation is seeking a candidate to work remotely from their home and to fill the part- time position of Administrative Assistant to work closely with the Chair. The anticipated start date for the chosen candidate is February 28, 2026, or sooner.

About Us

The Canadian Lacrosse Foundation was founded in 1996 and administers an investment fund for the benefit of the lacrosse community in Canada. It has four major objectives for the organization:

  • To advance the public understanding of the role of Lacrosse in the history and cultural development of Canada.
  • To educate and instruct Lacrosse coaches and officials on the rules of the game and player development.
  • To provide Lacrosse programs to support the physical, mental, and emotional well-being of Indigenous persons, persons with disabilities and troubled youth; and
  • To receive or maintain a fund or funds and to apply all or part of the principal and income therefrom, from time to time, to qualified donees under the Income Tax Act (Canada).

Job Description:

We are seeking a highly organized and meticulous Administrative Assistant to support our Chair of the Board of Directors. The ideal candidate will manage various tasks, including all activities surrounding Board of Directors meetings, processing payables, and providing year-end audit preparation information. This position will report to the Chair of the Foundation.

Specific duties and responsibilities

Administration

  • Booking travel & accommodation for the Chair and other board members as required.
  • Communicate with board members and Chair as required.
  • Work closely as required with accounting service on a variety of issues including the annual audit process.
  • Maintain relationships with Lacrosse Canada and other organizations as required.
  • Manage any grant requests that are received by the Foundation through communication with the Chair, board members, and the grant applicant. This includes preparing letter agreements for grants that are approved and getting these letters signed.
  • Issuing tax receipts for donations as required. Aid the Chair in all areas concerning organizing board meetings and conference calls. This includes preparation and distribution of any financial information or other information for the board members.
  • Maintaining a current list of directors and working with Lacrosse Canada on issues involving Directors and Officers Liability insurance on an annual basis.
  • Complete other duties as assigned by the Chair.

Meetings of the Association

  • Three or four meetings are held every year including the annual general meeting. These meetings have traditionally taken place on Sunday evenings starting at 8:00 PM Eastern and take between one to two hours to complete. The meetings are held by Zoom call. The Administrative Assistant will be heavily involved in the meeting activities including:
    • Set up of Zoom call.
    • Distribution of materials for the meeting to the Board of Directors as per direction of the Chair.
    • Attendance at the meeting and the taking of minutes of the meeting.
    • Review of the minutes’ decisions and development of an action plan for each decision to be reviewed with the Chair.
    • Finalization and approval of the minutes of the meeting.

Qualifications

  • Ideally 3-5 years of experience in an administrative position.
  • Bilingualism is considered an asset.
  • Strong organizational skills and attention to detail.
  • Proficient at oral and written communication skills.
  • Ability to take initiative and work independently.
  • Ability to communicate with volunteers.
  • Good knowledge of MS Office software (Word, Excel, Outlook)
  • A knowledge of the game of lacrosse in Canada is an asset.
  • Familiarity with social media is required.

Salary

  • Salary for this part-time job to be commensurate with experience.
